Longwood Symphony Orchestra, the orchestra of Boston’s healthcare community, seeks a motivated, responsible, and detail-oriented Operations Manager. Reporting to the Executive Director and collaborating closely with the Music Director, the Operations Manager will assist in a variety of organizational activities to meet our mission to heal the community through music. This part-time position will require an average of 12-15 hours per week; the weekly time commitment will vary throughout the season. This position provides a well-rounded, hands-on experience in all areas of a performing arts nonprofit. Experience in orchestral music is a plus, and training on specific systems and standards will be provided. Duties include but are not limited to:
Concert Production
Coordinate and attend all rehearsals (typically one evening per week, 2.5 hours, September-May plus one summer concert, additional two 3-hour rehearsals and a dress rehearsal the week of each of the four regular concerts); set up and put away chairs, stands, and other equipment, provide printed music, and take attendance
Communicate with rehearsal and concert venues for production needs such as equipment, instrument rentals, stage plots, dressing/green rooms, etc.
Personnel Management
In consultation with the Music Director, manage the concert sign-up process and roster for members and substitutes, and contract paid musicians as needed
Communicate announcements, venue directions, program order/timings, and other logistics to musicians in advance of each rehearsal/concert
Track attendance on the administration website and communicate with absent or late players
Organize annual auditions, including determining vacancies in the orchestra, promoting auditions in the Greater Boston musical community, communicating with and scheduling candidates, assembling an audition committee per Membership Policy, securing appropriate venues, and tracking committee notes and decisions
Assist the Membership Committee with annual substitute promotions to membership
Carry out and enforce official Membership Policies with assistance from the Membership Commitee
Chamber Music
Organize musicians for chamber music performances, both paid and volunteer opportunities
Communicate with chamber music clients to gather details about each performance, execute contracts when necessary.
Assist with distribution of chamber music binders and sheet music to musicians
Box Office
Assist at box office on concert days, sell tickets and manage Will Call distribution (if needed)
Assist with day-of registration for annual Gala
Qualifications
Proficiency with Microsoft Office Suite (including Word and Excel) and Google Suite
Excellent written and verbal communication skills
Detail-oriented and strong organizational skills
Proactive approach and ability to work independently in a timely manner
Knowledge and interest in classical music, background in music preferred
Experience in a nonprofit, arts, or administrative role and/or a Bachelor’s Degree
Willingness to learn: training in ArtsPeople (ticketing system and donor database) and Auctria (auction software) will be provided
Requirements
Lift and move up to 20 pounds
Flexible, work-from-home hours outside of rehearsals, concerts, and events; in-person meetings at office in Newton for clerical work and staff check-ins are an option, but not required
Attendance at all weekly rehearsals, dress rehearsals, concerts (typically 4-5 per season), annual gala, and other special events (typically 1-3 per season)
Access to high-speed internet at home (internet also available at Newton office)

Salary
The Operations Manager will be a W2 employee of Longwood Symphony Orchestra and will be compensated $16,000 annually for 12-15 hours per week.

The Longwood Symphony Orchestra is uniquely positioned at the crossroads of music and medicine.
